What Square has that we don't, and when it matters
- Card payments in the chair and online, built in2
- Cancellation policy and no-show fees, charged to a card on file (Plus)1
- Appointment deposits and prepayments1
- Physical and eGift cards1
- Text message marketing, 500 texts a month on Plus1
- Unlimited staff calendars, multi-location tools1
Square is a payments company first, and its booking tools sit on top of that: deposits, no-show fees, gift cards and marketing all run through the card on file. If you charge no-show fees or sell gift cards, Square does that well. If what costs you money is the empty chair after a cancellation, that's the part ChairCal is built around.
FAQ
If you're considering the switch.
Square Free is $0 a month; you pay card processing fees when you take a payment (2.6% + 15¢ tap, dip or swipe). Processing time, the waitlist, and cancellation and no-show fees are on Square Plus, which is $49 a month per location after a 30-day trial. All of this is per squareup.com/us/en/appointments/pricing and Square's fees page as of October 2026.
No. ChairCal doesn't take card payments, so plenty of stylists keep Square for checkout. Square Free costs nothing a month, so you can keep your reader and let ChairCal handle bookings, cancellation recovery and the client inbox.
Three things. (1) Fill: you tap Send. Your top regular gets first dibs. Then ChairCal widens, a few regulars at a time, until the chair's booked. First to tap gets 60 seconds to confirm. (2) Process Time: while one client's color processes, another can book a cut in the same chair, included at $19. (3) Inbox: texts and emails from the same client land in one searchable thread. Square has processing time and a waitlist on Plus too, so compare how each works for your book.
Bring your clients in from a Square export. Open Clients › Import and drop in the .csv or .xlsx file, up to 5,000 clients. ChairCal recognizes an export from Square, GlossGenius, Vagaro, or StyleSeat and matches its columns for you; for any other spreadsheet, you tell it which column is which. Names, mobile phones and emails come across, plus notes, last visit and visit count when your file has them. Opening alerts are opt-in — each client chooses to hear about cancellations when she books or replies YES to an invite you send.
If you're on Square Free and losing money to cancellations, ChairCal adds what you're missing for $19 and you can keep Square for payments. If you're paying $49 for Plus only to get processing time and a waitlist, compare the two side by side for a month. If you rely on Square's deposits, gift cards or no-show fees, keep Square for those and run ChairCal alongside.
