ChairCal vs Vagaro
Vagaro is built for multi-staff salons.
We're built for your chair.
If you're a solo stylist on Vagaro, you're paying $23.99 a month for staff scheduling, inventory, and a marketplace — none of which fill the chair when Sarah cancels at 1 PM. Here's exactly what changes when you switch.

What Vagaro has that we don't — and why we're OK with that
- Card payment processing (POS)
- Gift cards, packages, memberships
- Marketplace listing on vagaro.com
- Loyalty / rewards program
- Native iOS / Android app
- Multi-staff scheduling + commissions
- Inventory / retail
Most of those are useful to multi-staff salons or retail-heavy chairs. If you're solo and you take payments with a Square reader or Venmo, the things Vagaro has and we don't aren't the things stealing five thousand dollars a year from your books. Empty chairs are.
FAQ
If you're considering the switch.
Not yet, fully. ChairCal doesn't take card payments end-to-end (planned). The smoothest path: keep a Square reader (or whatever in-chair payment you prefer) for checkout, and let ChairCal handle bookings, cancellation recovery, and the client inbox. You can run both for a season; many do until ChairCal ships POS.
Yes. Export your client list from Vagaro as CSV (Settings → Customers → Export), then drop it into ChairCal during onboarding. Your top regulars are in the cancellation rotation by the time you finish setting your hours.
Three big things. (1) Fill: when a client cancels, ChairCal texts your top regulars one at a time with a real 60-second hold — first to tap takes the chair. Vagaro has a waitlist but doesn't do the priority-ranked sequential offer. (2) Process Time: a haircut books inside another client's color processing window — same chair, hands free, another $60 on the books in the time you were already at the salon for. (3) Inbox: texts and emails for the same client land in one searchable thread on your side. None of those are in Vagaro.
Because we built one tool that solves one expensive problem (cancellations cost solo stylists $5,000+ a year), not eleven tools that solve none of them well. Vagaro has POS, inventory, payroll, marketplace, gift cards — useful if you run a multi-chair salon. Most solo stylists don't use most of them. We charge less because we built less, on purpose.
If your bookings come through Instagram + your booking page and you don't need POS or marketplace listings in your booking tool — yes, switch and turn Vagaro off. Most full-switchers move within a month. If you rely on Vagaro for POS or multi-staff, run ChairCal alongside for now; switch fully when we ship POS.
